How to budget for childcare costs that sit outside funded hours, including deposits, meals, consumables and school-holiday provision.

In brief
Funded childcare does not always cover every part of a provider’s invoice. Deposits, registration, meals, nappies, activities, late collection and extra hours may be charged separately. Ask for an itemised schedule before accepting the place.
Holiday clubs use different registration and funding arrangements from term-time nursery. Check Tax-Free Childcare, Universal Credit, local funded programmes and provider hardship places.
Make the invoice transparent
Ask which charges are compulsory, optional or refundable, and how funded hours are shown. Confirm deposit return conditions, notice periods and what happens during sickness or closure.
Time payments around support
Tax-Free Childcare needs money moved through an account; Universal Credit usually reimburses eligible paid costs. Plan invoice dates and keep receipts. Ask the provider about staged deposits when upfront payment blocks work.
Check holiday provision early
Places may fill quickly and support may be tied to benefits, area or school. Confirm hours, food, transport, SEND support, staffing and cancellation. A low-cost scheme may not meet a child’s access needs without preparation.
Challenge unclear compulsory extras
Request the written fee policy and ask whether parents can supply alternatives. Use the provider’s complaint process and local authority childcare team if the advertised funded place is impossible to access without unexplained charges.

Mark which charges are optional, the deposit refund terms and the support accepted through Tax-Free Childcare or Universal Credit. Please also explain holiday-club and SEND arrangements.
