Managing Your Admin: Apps and Systems for Those Who Struggle with Paperwork

A simple admin system for post, emails, forms and deadlines that still works when energy and attention are low.

In brief

The goal of an admin system is to find the current decision and next deadline quickly. It does not need to archive every leaflet or use a sophisticated app. One inbox, one action list and one completed folder are enough for many households.

Choose paper, digital or a hybrid according to what is actually opened. Keep sensitive documents secure and avoid scattering the same case across several apps. A trusted person can help organise, but access and consent should be explicit.

Create one arrival point

Put unopened post in one tray and forward important emails to one folder or label. Do not sort deeply on arrival. Mark envelopes with the date received when deadlines may depend on it.

Turn each item into an action

Write the organisation, amount or decision, deadline and next action on a single list. File the document under the case only after the action is captured. “Deal with council” is too vague; “email Council Tax evidence by Friday” is usable.

Use a case naming rule

Name files with date, organisation and subject, such as “2026-07-06 Council Tax decision”. Scan all pages and keep originals where required. Consistent names make search more reliable than remembering which app was used.

Schedule a short admin reset

Once or twice a week, spend a limited period opening new items and checking deadlines. Use body-doubling or an adviser for difficult cases. Stop when priority actions are recorded rather than reorganising the entire archive.

Protect access and recovery

Use device locks, secure backups and account recovery that does not depend on one lost phone. Do not store passwords inside scanned documents or share a full folder when an organisation needs only one page.

Use with a support worker or trusted person.

I need help with the [organisation/subject] case. Please help me identify the current decision, deadline and next action, name and store the relevant documents, and remove duplicates. I want to keep control of any messages or submissions, so check with me before sending or sharing information.
